The Opportunity
As the Parts & Warranty Coordinator you will be involved in managing parts-related tasks including preparing accurate quotations for customers and service technicians, processing sales transactions with correct pricing, and ordering parts from suppliers to ensure timely delivery. It also includes conducting inventory audits, receipting parts with checks for quality and accuracy, and managing warranty claims by ensuring complete documentation and compliance with manufacturer policies.
Close collaboration with the Service Manager and service technicians is essential to ensure smooth operations and address parts-related queries. You will also provide administrative support to the service team, helping to resolve any operational issues efficiently.
Key Responsibilities
Parts Quoting and Sales
- Provide accurate and detailed quotations for parts to customers and service technicians, ensuring timely and reliable responses.
- Process sales transactions for parts, verifying correct pricing and invoicing to maintain accuracy in all sales records.
Parts Ordering and Inventory Management
- Order parts from suppliers, ensuring timely deliveries to meet workshop demands and prevent delays.
- Maintain precise records of parts inventory, monitoring stock levels to ensure availability and prevent shortages.
- Conduct regular inventory audits across all sites, ensuring stock records are accurate and identifying any discrepancies promptly
Receipting and Storing Parts
- Oversee the receipting of parts, ensuring all items are checked for accuracy and quality upon arrival.
- Organise and store parts efficiently, ensuring they are secure, easily accessible, and in good condition.
- Keep the parts storage area clean and orderly, optimising space and ensuring safety for staff.
Order Management
- Manage back orders and Vehicle Off Road (VOR) orders, coordinating with suppliers to ensure timely deliveries.
- Expedite urgent orders, resolving any delays or issues by maintaining clear communication with suppliers.
- Regularly update customers and service technicians on the status of parts orders to ensure transparency.
Warranty Claims Processing
- Submit and manage warranty claims, ensuring all required documentation is accurate and complete.
- Track the progress of warranty claims and follow up with manufacturers or suppliers as needed to ensure timely resolutions.
- Ensure all warranty work complies with company policies and manufacturer guidelines.
- Tag and store all warranty parts in accordance with manufacturer guidelines to ensure proper handling and tracking.
This role is based in Parramatta.
About You
You have the below skills and experience with a passion to develop your career with an innovative luxury brand.
- 1 year of experience in a parts interpreter role or a similar position.
- Solid understanding of automotive service operations and equipment maintenance.
- Strong customer service skills, with the ability to effectively manage escalations and resolve issues.
- Proficient in using inventory management and warranty processing software.
- Experience with the Titan DMS system is preferred, though not essential.
